In an emergency, information is also a hazardous substance: badly released, it becomes panic; held back, it becomes suspicion. Who finds out, in what order and with what message is not improvised at the worst moment.
Crisis communication is the plan for how information flows during and after an emergency: inward (your people) and outward (families, authorities, community, media). It is not public relations: it is safety. A clear message in time can be the difference between an orderly evacuation and a stampede.
The order matters as much as the message
There is a sequence decided in cold blood: first those in immediate danger (the alarm that moves people), then the response team and command, then the internal chain, and in parallel the authorities and, when appropriate, families and community. Each one needs a different message: the operator needs «what do I do now», the authority needs «what happened and what is the risk», the family needs «your people are safe». It is like an emergency room: triage is not coldness, it is what keeps the noise from burying the urgent.
Many crises did not worsen because of the event, but because of the vacuum: no one said anything in time, and rumor filled the silence with the worst thing imaginable.
A communication plan that works under pressure
What holds crisis communication together is not eloquence: it is preparation. A list of who is alerted and in what order, designated and trained spokespeople (one voice, not five versions), base messages already drafted for the credible scenarios, and channels that work when the phone does not. All of that is decided beforehand, written down and tested in the drill, alongside the rest of the plan.
